The Montana Optometric Association invites you to exhibit at the 2025 Annual Educational Conference and Exposition to be held May 7-9, 2025 at the DoubleTree by Hilton in downtown Billings. The trade show will be held on Thursday, May 8.
The objectives of this conference are to increase the level of knowledge and skills, increase the general level of competency, and enhance the quality of patient care by providing in-depth lectures and discussions of topics of high interest to the optometric profession in a reinforced learning environment. |

Montana Optometric Association represents over 90% of all licensed optometrists residing and practicing in Montana. A very high percentage of these members attend this meeting with their staff. |

Special Features for Exhibitors The trade show has exclusive billing for a full evening with dinner and bar areas set in the exhibit area. During the exposition, exhibitors will be introduced for their door prize drawings, while being the spotlight of the evening with no education sessions scheduled to overlap. |

Attendance Montana member and non-member optometrists, paraoptometrics, opticians, and related staff from throughout the state attend the annual conference. Our conference also draws out-of-state attendees. |

Exhibit Space Reservation After you have reserved and paid for your space, you will receive a confirmation, an invoice, and a service kit. |

Cost & Services Booth units are 8 feet wide by 8 feet deep unless otherwise stated. The charge for each booth (with early pricing) is: $1,200 - Commercial Non-Member Exhibitors $1,000 - MOA/AOA Associate Member Exhibitors $500 - Approved Non-Commercial 501(c)(3) Exhibitors
Multiples of the base size are available at $600 each. The cost includes a draped back wall 8 feet high and draped side rails 36 inches high.
Each 10'w x 6'd booth structure includes: one 6' skirted table, 2 chairs, 500w/basic electrical service and booth ID sign. Other information regarding table upgrades/furnishings/shipping to the show is available from K&J online at www.kjconventions.com/mteyes.
Registration includes rosters of all conference attendees, two tickets to the Thursday dinner, and a listing in the official conference program (if received by April 4, 2025). The cost includes two representatives. Additional representatives may attend at $200 each.
Subletting of space is not permitted. Exhibitors may not exhibit, advertise, or offer services or products other than those manufactured or sold by that exhibitor during the regular course of business as detailed on the exhibitor application form. |

Event Opportunities If you would like to sponsor a conference meal function, reception, break, education session, or other activity, please complete the Event Opportunities section of the registration. Premium branding and advertising opportunities are available. You will be acknowledged in the conference program, with a special sign on your booth, and at the function site indicating you are a sponsor. |

Hotel Information Conference headquarters and registration will be at the DoubleTree by Hilton, 27 N. 27th St. Billings, MT 59101; (406)252-7400. The hotel is offering conference attendees special rates starting at $149 per night plus tax. When making reservations, be sure to indicate you are attending the MOA conference. Reservations need to made directly with the DoubleTree by Hilton by April 13 to receive the MOA conference rates. |

Cancellation Refunds for cancellations will be accepted at 50% of the total cost of the space until April 4, 2025, if sent in writing. No refunds after April 4, 2025.
The Montana Optometric Association (MOA) cannot be held liable for events beyond its control, such as acts of God, government regulations, disasters or weather-related hazards, pandemic restrictions, civil unrest, acts of terrorism, or any other emergency, making it inadvisable or impossible to hold the conference. In the event of a cancellation, MOA will make every effort to inform the participants of any change as soon as possible to enable participants to cancel hotel and flight arrangements. |
